Booking Terms & Conditions

1. The Booking

A contract between you and Primo Solutions (TheTripCare) is established once we confirm your selected tour, receive your completed and signed booking form, and obtain the required deposit.
All relevant sections of the booking form must be filled in accurately and completely. We can only accept signed booking forms, as the signature confirms that you and all accompanying travelers agree to our booking terms and conditions and are entering into a binding contract with us.

2. Deposit

Upon submission of the signed booking form, a deposit of 25% of the total tour cost per person must be paid to confirm the booking.

3. Payment

All payments should be made in favor of Impex Prime Services via cash, cheque, demand draft, credit card, or electronic bank transfer.
A 3% surcharge will apply to payments made by credit card and will be added to the total invoice amount.

For bookings made within 10 working days prior to the tour departure, the full tour amount becomes immediately payable.

4. Balance Payment

After receiving the completed booking form and deposit, we will issue an invoice and payment receipt.
The remaining balance must be paid at least 28 days before the tour departure date.

Bookings made within 14 working days of departure are treated as late bookings, and full and final payment is required at the time of booking.

Failure to pay the balance within the specified time may result in automatic cancellation, along with applicable cancellation charges as outlined below.

5. Cancellation by You

If you or any member of your group wishes to cancel the holiday, written notice must be submitted to Primo Solutions (TheTripCare).
The effective cancellation date will be the date on which written notice is received.
The cancellation request must be signed by the person who originally signed the booking form.

Since cancellations involve administrative expenses and hotel retention charges, the following cancellation fees will apply:

27 – 14 days 50% of tour cost
13 – 7 days 75% of tour cost
6 days or less 100% of tour cost

6. Changes to Your Booking

If you wish to modify your travel arrangements after receiving the confirmation invoice—such as departure date or accommodation changes—we will make every reasonable effort to accommodate your request.
However, changes cannot always be guaranteed and may be subject to additional charges or availability.

7. Liability

Primo Solutions (TheTripCare) does not own or directly control hotels, transportation services, or other facilities included in the tour packages.
As a tour operator, we cannot be held liable in the following circumstances:

  • Where there has been no fault on the part of the company, suppliers, or agents

  • Where failure in performance is attributable to the customer

  • Where failure is caused by a third party not connected with the travel services and is unforeseeable or unavoidable

  • Where failure results from unusual or unforeseeable circumstances beyond control

  • Where failure arises from an event that could not have been predicted even with due care

We take all reasonable steps to ensure that our service providers maintain acceptable standards of quality and safety.
